WorkCheck

The maintenance layer that turns HelmHOA into a daily operations tool: a full work-order lifecycle from owner request to closed, a common-area equipment registry with scheduled maintenance, and the bridge that lets a building-funded work order resolve a unit repair.

What WorkCheck does

The work-order lifecycle

Pending approval β†’ open β†’ assigned β†’ in progress β†’ completed β†’ closed, with holds, waits and a declined branch β€” every transition guarded in one place, so the queue can’t drift into impossible states.

Owner ticketing, building by building

Boards opt each building in separately. Owner requests arrive pending approval, are triaged by the lead or the office, and owners follow progress in a simplified status vocabulary.

A building equipment registry

Common-area assets β€” pumps, elevators, gates, pool gear β€” with maintenance intervals, condition, and an append-only history. Completing a work order writes the maintenance dates back to the asset.

Scheduled work-order generation

A daily generator opens work orders as scheduled maintenance comes due β€” idempotent per asset, so nothing is opened twice and nothing waits for someone to remember.

A phone-first shell for the crew

Maintenance staff work in their own app β€” tiered lead / supervisor / tech roles, duty-scoped by building β€” not in the admin console. Techs see the queue, not the clipboard.

How it works

  1. Work arrives from an owner request, a staff finding, a confirmed leak event, or the maintenance schedule.
  2. The office triages and assigns β€” to staff, or to a vendor, where assignment runs VendorCheck’s credential gate.
  3. The crew works it from their own shell with checklists, photos and time.
  4. Completion writes maintenance dates back to the equipment registry β€” and a building-funded work order resolves the unit’s repair, advancing its compliance status.

Connects to the rest of HelmHOA

HelmHOA modules share one data spine β€” nothing below is an export or a re-key. With WorkCheck enabled:

  • UnitCheck β€” building-funded completion resolves the unit repair and the status engine recomputes.
  • VendorCheck β€” vendor assignment runs the same credential gate as repairs.
  • Building Twin 3D β€” work orders and equipment carry a click-to-place 3D location.
  • LeakCheck β€” a confirmed leak event opens an urgent plumbing work order in one click.

What Florida law says

WorkCheck’s owner access-notice copy references Fla. Stat. Β§ 718.111(5), the association-access provision. HelmHOA presents advance notice to occupied units as best practice β€” the statute does not mandate it, and the product never claims that it does.

Good to know

  • WorkCheck is the Pro step-up because work orders presuppose someone to dispatch β€” an association with no on-site staff can run everything else without it.
  • Owner ticketing is off by default and enabled per building, on the board’s decision.
