SaleCheck

When a unit sells, the association owes the buyer a defined set of documents. SaleCheck assembles that package from records the platform already holds, shows what is present and what is missing before anything goes out, and delivers it to the buyer through a time-limited link that records who opened which document and when.

The package, assembled from records you already keep

The declaration, articles, bylaws and rules, the Q&A sheet, the Division’s governance form, the most recent financials and budget, the milestone summary and reserve study where they apply — pulled from the records vault rather than re-collected. What is on file arrives already attached.

Readiness before delivery, not after

Every item shows as present, missing or stale against a versioned checklist, so the gap is visible while there is still time to close it. The registry is versioned because the statutory list itself changed in both 2024 and 2025 — a package assembled today is assembled against today’s list.

A buyer link that expires

The buyer gets a web page, not an inbox full of attachments. Links are short-lived by default and can be extended or revoked; only the statutory package is reachable through one, and the page is built so that protected material is structurally absent rather than filtered out.

Proof of what was delivered, and when it was opened

Every access is logged, and a Delivery & Receipt Certificate records which documents went to which buyer, when they were sent, and when each was first opened. That certificate is the evidence a delivery happened — the thing nobody has when the question is asked months later.

The owner starts it

A seller opens the request from their own dashboard; management works it from a queue. Nothing about the sale reaches other owners, and the whole workflow stays with the manager and the seller.

How it works

  1. A seller requests the package from their owner dashboard, naming the unit.
  2. Management sees the readiness view — every checklist item marked present, missing or stale — and closes any gap before the package leaves.
  3. A share link is issued for the buyer. It carries the statutory package only, expires on its own, and can be revoked or extended.
  4. Every open is logged, and the Delivery & Receipt Certificate records what was delivered and when it was first read.

What Florida law says

Fla. Stat. § 718.503(2) sets out the documents a condominium unit seller must give a buyer before closing — among them the declaration, articles, bylaws and rules, the § 718.504 question-and-answer sheet, the Division’s governance form, the most recent financial statements and budget, and, where they apply, the milestone inspection summary and the structural integrity reserve study or a statement that none has been completed. The statute also gives the buyer a right to cancel: for contracts executed on or after July 1, 2025, seven days excluding Saturdays, Sundays and legal holidays, running from execution of the contract and receipt of the documents, and ending at closing. Law as of 2025.

Good to know

  • SaleCheck assembles and delivers a package and records what happened. It does not certify that a package satisfies the statute, and it does not tell you whether a sale may close — those are legal determinations, and they belong with the association’s attorney or licensed CAM.
  • It records delivery; it does not run the buyer’s cancellation clock. The certificate timestamps when each document was sent and first opened, which is the evidence that period is measured from — the period itself is a legal question with a statutory counting rule, and no screen in HelmHOA computes a cancellation deadline for you.
  • The underlying association documents are not a HelmHOA product. Owners can already reach them free through the association’s own records portal, and packages are a concierge inclusion of every tier — what SaleCheck adds is the assembly, the readiness check, the expiring buyer link and the delivery evidence.
  • Managers and the selling owner only. A board member can read the queue but cannot alter delivery evidence, and no other owner in the building sees that a unit is being sold.
  • It reads on ch. 718 condominium resales. Estoppel certificates under § 718.116(8) are a separate duty and are out of scope for now.
  • SaleCheck requires RecordCheck: the statutory documents live in that vault, and without it there is nothing to assemble a package from.
