AI Disclosure

HelmHOA uses AI sparingly, and always in the same shape: AI suggests, a person confirms. No AI output in the platform is saved, sent, or acted on without human review, and no AI output is ever a legal determination.

Where AI is used

• Floor-plan tracing assist (Building Twin 3D). When a manager uploads a PDF floor plan to build a 3D model, AI can suggest a starting trace of the floor's outline and units. It is an assist, not automation: the suggestion is drawn on screen for the modeler to edit, accept, or discard — nothing enters the model without confirmation.
• The Claude connector (optional). A member can individually authorize Claude, Anthropic's AI assistant, to answer questions about their own community data — off by default, consent-screen gated, limited to what that member's own account can already see. The Privacy Policy describes it in full.

AI processing is performed by Anthropic through secure server-side functions (see Subprocessors). Content is sent only when a feature is actually used, and Anthropic does not use data submitted through its API to train its models by default.

Automated — but not AI

• Reserve-study extraction (ReserveCheck) reads component tables from an uploaded SIRS PDF using document-text extraction. Every extracted value passes through a human review-and-confirm step before it is saved — nothing enters the reserve schedule unconfirmed.
• Computed deadlines come from published formulas with statute citations, so your advisors can check the math. They are calculations, not AI predictions.

Where AI is not used

• The AI photo-analysis flow for toilet inspections is not active. Inspections in HelmHOA are performed and recorded by people, using structured forms.
• Compliance status is never decided by AI. A unit's status is computed by fixed rules from approved repair items — an administrator's approval, not a model's opinion, is what moves it.
• No AI sends anything. Notices, notifications, and reminders are composed from templates and sent by people; AI does not communicate with owners on the association's behalf.
• No AI legal conclusions. The platform never uses AI to answer what your association is required to do. Statutory content is written and cited by people, and it is educational information, not legal advice.
