What UnitCheck does
Template-driven mobile inspections
Inspectors work from a phone with forms built in the template builder — your association’s own inspection types and fields, not a fixed checklist. Completed inspections are searchable field by field.
Repair proof, from the owner’s side
A failed finding becomes a repair checklist on the unit. Owners submit photo proof in the portal — or through a manager-minted upload link that needs no login at all — and managers approve or send it back with a reason.
A five-state status that moves itself
Every unit sits in one of five states, from never-inspected to compliant, driven by its repair items. When the last item is approved, the unit returns to compliant automatically — nobody updates a spreadsheet.
Equipment lifecycle & reminders
Water heaters, valves and PRVs are tracked per unit with install dates and conditions. Due dates are derived from age, and managers send reminders deliberately — each send reaches the owner by email and the admin activity feed.
Inspection history that prevents duplicate work
Before starting, an inspector sees when each form was last run on the unit, a colleague’s in-progress draft, and a duplicate-risk banner inside 30 days. It informs — it never blocks a legitimate re-inspection.
Reports and PDF exports
Per-building compliance meters, an attention queue, and a reporting suite with PDF export — the board packet comes out of the data, not out of a weekend.
How it works
- An inspector opens their building’s unit list on a phone and runs the association’s own form — with the unit’s inspection history in view before they start.
- Failed findings become a repair checklist; the unit moves to “action required” and its owners are notified.
- The owner fixes the item and submits photo proof — in the portal, or through a no-login upload link the manager emails from their own mailbox.
- A manager reviews the proof. Approve the last open item and the unit advances to compliant automatically; reject and it returns to the owner with the reason preserved.

- Inspections are arranged and paid for between the association and its own licensed vendor — HelmHOA is the software that runs the program, not an inspection company.
