Two layers per matter
A summary of the matter, and a separate privileged area for counsel’s correspondence and documents. The privileged area opens only for the people on that matter’s access list.
The access list is the fence
Only someone already on a matter’s access list can change it. No HelmHOA screen shows the privileged area to HelmHOA staff, and staff cannot add themselves to a list.
Restricted matters stay quiet
A restricted matter does not show up in counts, emails or notifications for anyone outside its access list, and every time it is opened, that is logged.
Legal spend
Record what each matter has cost, beside the budget — so the board can see legal spend without opening privileged material.
Connected to the rest of the record
Link a matter to the project or the records request it concerns, so the context is one click away for the people allowed to see it.
Past matters, entered from records
Matters from before HelmHOA can be entered with a permanent “entered from records” label, so history and live work are never confused.
How it works
- Open a matter and name who is on its access list — at least one person, always.
- Keep the summary current for the board; file counsel’s documents in the privileged area.
- Mark a matter restricted when its existence itself should not be visible outside the list.
- Record spend as invoices arrive and link the matter to related projects or records requests.
