Core platform · Capital projects, bids & money

Projects

Roof replacements, balcony repairs, a lobby renovation — anything that needs a board decision or more than one payment. Projects puts every open project on one board, moves each through clear stages, collects the bids side by side, and keeps a money plan that shows where the funds come from and where they go.

What Projects does

One board of open projects

Every project the association is carrying, on one page, each at a named stage — so “where are we on the roof?” has an answer that does not live in someone’s inbox.

Stages with gates

Seven stages from idea to closeout, with three gates that say what has to be on file before a project moves on. Every stage change is recorded.

Bids side by side

Collect bids against the project, compare them in one place, and record the award — with the vendor’s paperwork status in view when you do.

A uses-and-sources money plan

What the project will cost, how it will be paid for — reserves, an assessment, a loan — and what has actually been spent, kept together.

An owner view, when you choose

Share a project with owners and they see its progress; funding appears for owners only once it is authorized. Unshare it and it is gone from their view.

History from your past records

Load completed projects from a fixed spreadsheet template. Each carries a permanent “entered from records” label, and gaps in the old paperwork are named rather than hidden.

How it works

  1. Open a project and describe the work — it starts at the first stage.
  2. Collect and compare bids, then record the award.
  3. Build the money plan: the cost, the funding sources, and the expenses as they land.
  4. Move the project through its stages; dated steps appear on the compliance calendar, and closeout produces a follow-up checklist.

Good to know

  • A single repair job stays a work order — a project is for work that needs a board decision or more than one transaction.
  • Completing a project never changes records in other parts of HelmHOA on its own; it gives you a checklist of follow-ups instead.
  • Managers edit projects; board members see them read-only.
